Where do I see back in stock signups, and how do I manage them?

Updated · SMART Preorder & Back in stock (E-TRADE PARTNER)

Back in stock > Signups lists every shopper who asked to be notified, with the product and their status. From there you can export or import a CSV, move or delete signups, and send the back in stock email by hand.

SMART Preorder & Back in stock is a free Shopify app for pre-orders, deposits, and back-in-stock alerts.

The Signups tab

Signups is the first tab on the Back in stock page. At the top, Most wanted products shows your top 25 products by waiting signups, to help you decide what to restock first. Each row has Waiting, Waiting since, All signups and Recovered, plus two actions: Send to all waiting and Move signups.

Below it is the full list, with the tabs All, Waiting, Notified and Bought, a search by email or product, and the columns Email, Product, Status, Marketing and Signed up. Dates are in your store's time zone.

StatusMeaning
WaitingNot emailed yet. Gets the back in stock email on restock
NotifiedGot the back in stock email
ClickedGot the email and clicked its link
BoughtBought that variant within 7 days of the email. The order number links to the order
UnsubscribedStopped these alerts. Never emailed again

Marketing shows Subscribed when the shopper ticked your marketing consent box.

Automatic or by hand

With the Back in stock email active, waiting signups are emailed automatically when stock comes back (how that works). You can also send it yourself:

  • Send on a waiting signup, or Resend on one already notified.
  • Tick signups and choose Send back in stock email, up to 75 at once. Signups already notified get it again, and unsubscribed ones are skipped.
  • Send to all waiting on a most wanted product. The first 75 go out now; send again for the rest.

Emails you send by hand go out even if the product is still sold out and even while the back in stock email is inactive: they skip the stock and market checks. They still count toward your daily back in stock limit, wait while sending is paused, and skip unsubscribed shoppers. Imported signups still waiting for their restock are left out.

Move or delete signups

  • Move signups moves a product's waiting signups to another variant, for example when you replace a product. Signups already notified stay where they are, and a shopper already signed up for the new variant keeps one signup.
  • Delete removes a signup, or every ticked one. They won't be emailed when the product is back.
  • When variants are deleted in Shopify, a banner shows how many signups are waiting for deleted variants. Click Review to move them to another variant or delete them, since they can never get an email.

Export signups

Export CSV downloads the signups that match your current tab and search, up to 10,000. Columns: Email, Variant ID, Product ID, Product, Variant, Status, Signed up, Notified at, Clicked at, Locale, Marketing, Name and Order. The file can be imported again.

Import signups

  1. Click Import CSV on the Signups tab.
  2. Choose a CSV with an email column and a variant ID, SKU or product link column, up to 2,000 rows at a time. Download sample CSV shows the format: email, variant_id, sku, product_url, created_at, locale.
  3. The toast tells you how many were imported and why others were skipped.
  • Each row uses its variant ID, else its SKU, else its product link. A link with ?variant= names the variant; a link or SKU that matches several variants needs a variant ID.
  • Skipped: invalid emails, rows Shopify can't match, emails already signed up for that variant, IDs Excel rounded (like 4.41235E+13: import the original CSV instead), and rows whose status says the request is no longer waiting.
  • Exports from other back in stock apps usually work as they are, as long as they have those columns.
  • Imported shoppers are emailed when the product sells out and comes back in stock. If it's in stock when you import, they wait for the next restock. They get no signup confirmation.
  • The locale column sets the language of their email. A date column sets the signup date.
  • Up to 50,000 rows a day per store (UTC), skipped rows included. Import CSV opens at the Growing store level: see Plans and limits.

Only import people who asked

Old or bought lists bounce and get spam reports, and too many of those pause your back in stock sending. See Sender address and deliverability.

When a signup isn't in the list

The signup form always tells the shopper it worked, but nothing is stored when:

  • the address stopped all alerts from your store, or unsubscribed from that product before,
  • the same address made 10 signups in the last 24 hours,
  • your store passed 20,000 signups that day (UTC),
  • back in stock was off.

Frequently asked questions

›Can I move my waitlist from another app?

Yes. Export it from the other app and use Import CSV on the Signups tab. The file needs an email column and a variant ID, SKU or product link column. Imported shoppers are emailed after the product sells out and comes back.

›Can I tell my waitlist about a pre-order?

Yes, by hand. On the product in Most wanted products, click Send to all waiting. The back in stock email goes out even though the product isn't in stock.

›Do deleted signups get an email?

No. A deleted signup is removed for good and won't be emailed when the product is back.
